Profectus Design Pty Ltd (“Profectus Design”, “we”, “us” or “our”) operates www.profectusdesign.com.au and the internal reporting tool Profectus SEO Reporting.

This policy explains how we handle information collected through our website, enquiries and authorised Google reporting connections.

Information we collect

When you contact us, submit an enquiry or subscribe to communications, we may collect your name, email address, telephone number and information you choose to provide about your project.

Our website may also collect technical and usage information, including IP addresses, browser and device details, pages visited and interactions with the website.

How we use information

We use information to respond to enquiries, communicate about our services, understand website usage and improve our website and marketing.

Where permitted and, when required, with your consent, we may send newsletters or promotional communications. You can request that these communications stop by contacting hello@profectusdesign.com.au.

Cookies and website analytics

Our website uses cookies and similar technologies to understand visitor activity and improve the website experience. These technologies may recognise a browser or device across visits.

We use Google Analytics to assess website traffic and engagement. Cookies and online identifiers may constitute personal information or be associated with other information; we do not assume that all website activity is anonymous.

Profectus SEO Reporting

Profectus SEO Reporting is an internal tool used by Profectus Design to review website performance, assess search visibility and support content and marketing planning. It is not a public sign-up service.

‍

The tool currently connects to authorised Google Analytics and Google Search Console accounts. A Google Ads API connection for keyword research and reporting is being configured and is not yet operational.

Google information accessed

Depending on the connected service and permissions granted, reporting information may include:

• Google Analytics: website traffic, engagement, events and conversion reporting available to the authorised account.
• Google Search Console: search queries, impressions, clicks, average position and page performance.
• Google Ads: keyword ideas, search-demand estimates, historical trends and advertising metrics.

We use these reports to assess performance, identify content opportunities and inform marketing decisions.

Authorisation and permissions

Google account connections require authorisation from a person with appropriate access to the relevant accounts or properties.

The existing Google Analytics and Search Console connections use read-only permissions.

‍

Google Ads uses an OAuth scope that can permit both reading and modifying account information. The planned Profectus SEO Reporting implementation is limited to keyword research and reporting. It will not provide functions to create campaigns or change bids or budgets.

Google API data commitments

Profectus SEO Reporting’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements.

‍

Google-derived information will be used only for the disclosed reporting and research purposes, consistent with the permissions granted and applicable Google policies.

‍

Storage and security

We take reasonable steps to protect personal information and Google reporting data against loss, misuse and unauthorised access or disclosure.

‍

Credentials and authorisation tokens for Profectus SEO Reporting are stored locally on a Profectus Design-controlled computer, with access restricted to authorised personnel. These credentials are not published on our website or included in reports.

‍

Reporting information may be retained on business-controlled devices and approved cloud storage services for internal analysis and record keeping. Access is limited to people who require it for their work. Website enquiries and business communications may also be stored within our website and email service providers’ systems.

‍

No method of internet transmission or electronic storage is completely secure.

‍

Service providers and disclosure

We use service providers to support website hosting, email, analytics, document storage and business reporting. These providers may process information where necessary to deliver those services.

Google processes information associated with our use of Google Analytics, Search Console and, once connected, the Google Ads API.

‍

Where needed for reporting and research, authorised personnel may provide selected reporting information to AI-assisted analysis services, including OpenAI’s ChatGPT. We limit information shared to what is necessary for the task and exclude passwords, client secrets and authorisation tokens. We do not intentionally include identifiable client enquiry details in keyword-research analysis.

We do not sell Google API data or use it to train general-purpose AI models. Any transfer of Google-derived information must be consistent with the Google API Services User Data Policy and its Limited Use requirements. AI services must be configured and used consistently with these restrictions.

Some providers may process or store information outside Australia. The locations depend on the provider and service used. We consider privacy and security when selecting providers and take reasonable steps to protect information disclosed to them.

We may also disclose information where required by law.

‍

Retention and deletion

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including relevant business, contractual and legal requirements.

For Profectus SEO Reporting, our retention arrangements are:

• Downloaded Google reporting data and working analysis files are retained for up to 12 months to support performance comparisons, unless a shorter period is sufficient.
• Final reports may be retained for longer where needed to document business decisions or meet record-keeping requirements.
• Authorisation tokens are retained while a connection is required. When a connection is permanently discontinued, locally stored tokens and credentials no longer required are deleted.
• Information that is no longer required is deleted or de-identified. Copies in backups are removed through the normal backup replacement cycle and are not used for routine reporting.

Requests for access, correction or deletion can be sent to hello@profectusdesign.com.au. We may verify the requester’s identity and authority before acting. If information must be retained, we will explain why.

Revoking access through a Google Account prevents further retrieval using that authorisation but does not automatically delete previously saved information. A separate deletion request can be made using the contact details above.

Revoking Google access

An authorised user can revoke Profectus SEO Reporting’s access through their Google Account’s third-party connections settings.

Revocation prevents further access through that authorisation. It does not automatically delete information already retrieved or reports previously saved. Requests concerning retained information can be sent to hello@profectusdesign.com.au.

Access, corrections and privacy concerns

Contact us if you would like to request access to or correction of your personal information, or raise a concern about how it has been handled.

We may need to verify your identity before responding. We will review your request and explain the outcome, including any applicable limitations.

External websites

Our website may link to websites operated by other organisations. Their privacy practices are governed by their own policies. Review those policies before providing information to them.

‍

Policy updates

We may update this policy to reflect changes to our services, data handling or applicable requirements. The date above will indicate the latest published revision.

Where a change requires additional consent, we will seek that consent rather than relying solely on continued website use.
